1. Information We Collect

At StayHaven, we collect information necessary to process your membership application and provide our co-living services. This includes personal information such as your full name, date of birth, email address, phone number, and current address. We collect employment information including your employer name, job title, employment status, and annual income to verify your ability to meet membership obligations.

We also request government-issued identification documents, proof of employment or income (such as recent pay stubs, tax returns, or employment verification letters), and educational records as part of our verification process. Your Social Security number is collected separately through a secure form dedicated solely to background check purposes. Additionally, we collect payment information processed through QuickBooks for membership dues and related fees. We may also collect usage data about how you interact with our website, including IP address, browser type, pages visited, and time spent on our site through standard web analytics.

2. How We Use Your Information

Your information is used primarily to process your membership application and verify your qualifications for co-living at StayHaven properties. We use your personal and employment data to assess your application, conduct required background checks, and make membership decisions. We communicate with you regarding your application status, membership terms, lease agreements, community guidelines, and service updates via email or phone.

Your payment information is processed securely through QuickBooks to handle membership dues, utilities, services, and other charges. We retain your information for property management purposes, including building access records, maintenance requests, and community communication. We may also use aggregated, non-identifying information to improve our website functionality, understand member needs, and enhance our services. We do not use your information for marketing purposes beyond service-related communications unless you explicitly opt in.

3. Background Checks

As part of our membership process, StayHaven conducts background checks in compliance with the Fair Credit Reporting Act (FCRA). We engage a third-party screening service to perform these checks, which may include criminal history, eviction records, and credit history verification. Your Social Security number is collected through a separate, secure form used exclusively for background check purposes and is not mixed with general application data.

You will receive notice of our intent to conduct a background check, and you have the right to request a copy of the report obtained about you from our third-party screening provider. If a background check reveals information that may be used to deny your membership, we will notify you of this decision and provide you with the opportunity to dispute any inaccurate information. Our background check process is designed to ensure the safety and integrity of our StayHaven community while respecting your privacy rights under applicable law.

4. Document Storage & Security

All documents you upload during the application process, including identification, employment verification, and financial documents, are stored securely on our servers with encryption technology to protect against unauthorized access. Documents transmitted to us are encrypted during transit to ensure your information remains confidential throughout the upload process. Access to stored documents is restricted to authorized StayHaven personnel who need this information to process your application and manage your membership.

We maintain physical and digital security measures including secure servers, firewalls, and access controls to protect your personal and financial information. All employees and contractors with access to your information are bound by confidentiality agreements. While we take comprehensive security precautions, no method of electronic transmission or storage is completely secure; however, we are committed to protecting your data using industry-standard security practices.

5. Third-Party Services

StayHaven uses QuickBooks as our payment processing platform to securely handle membership dues, fees, and charges. QuickBooks processes your payment information according to their own security standards and privacy policies. We also work with a third-party background check provider to conduct the screening and verification necessary for membership approval. These third parties are contractually obligated to use your information only for the specific purposes we have authorized and to maintain the confidentiality of your data.

We do not sell, rent, trade, or otherwise disclose your personal information to any third parties for their own marketing purposes. Your information is shared with these service providers only to the extent necessary to provide StayHaven services. We encourage you to review the privacy policies of QuickBooks and our background check provider to understand how they handle your information independently.

6. Data Retention

StayHaven retains your personal information for as long as necessary to fulfill the purposes outlined in this privacy policy, comply with legal obligations, and maintain records for our business operations. Typically, we retain application materials and background check information for the duration of your membership plus three years afterward, in accordance with standard business and legal requirements. Payment records are retained for the duration of your membership and seven years thereafter for tax and accounting purposes.

If you wish to request the deletion of your personal information, you may submit a written request to info@stayhaven.life with the subject line "Data Deletion Request." We will review your request and delete your information where legally permissible, though some information may be retained to fulfill legal or contractual obligations. Please note that deletion may not be possible if the information is necessary for ongoing legal claims or regulatory compliance.

7. Your Rights

You have the right to access, review, and request corrections to any personal information that StayHaven holds about you. If you believe any information we maintain is inaccurate or incomplete, you may submit a written request for correction to info@stayhaven.life. We will review your request and update or correct your information within a reasonable timeframe, unless there is a legitimate reason to retain the original information.

You have the right to request a copy of your personal information in a portable format. You also have the right to request deletion of your personal data, subject to legal and contractual limitations. To exercise any of these rights, please contact us at info@stayhaven.life with a clear description of your request. We will respond to your request within thirty days or as otherwise required by applicable law. You may also contact us if you wish to opt out of non-essential communications, though we will continue to send communications necessary for your membership.

These analytics help us improve our website's functionality, layout, and content. We do not use advertising or tracking cookies that follow you across the internet or sell your browsing information to advertisers.

We do not combine analytics data with personal information you provide through the application process.

9. Children's Privacy

The StayHaven website and membership services are not directed to, and we do not knowingly collect information from, individuals under the age of eighteen.
